A violation you cannot prove is a dispute waiting to happen. Here is how to document well.
Records are your protection
When a homeowner disputes a violation, the board's documentation is what settles it. Good records are not bureaucracy, they are the evidence that protects the board and ensures fairness.
Capture the facts
Effective documentation records what the violation was, where, and when, ideally with a photo. Objective facts, dated and specific, are far more defensible than a vague recollection weeks later.
Keep a per property history
A complete history for each property shows patterns, repeat issues, and resolutions. That history is what lets the board handle a recurring problem consistently rather than treating each instance as new.
